We recognise that any personal data you provide to us when registering to use (the Website) is your property and that you have loaned it to us for specific purposes. Retail Focus Ltd is the data controller for Store Excel registered with Information Commissioners Office (ICO) reference ZA183093.

Unless otherwise required by law, the Information Commissioner’s Office (ICO) guidance or best practice, or in order to perform our contract with you, we will only process your personal data in the way we tell you or in the way you ask us to, and we will give it back to you at any time.

This policy

1.1         This policy, any other documents we provide to you as part of your membership or subscription with us, sets out how we will process any personal data you provide to us.

1.2         This policy applies to your membership with us. You are therefore advised to read it carefully. Terms used within it shall have the meaning(s) given in the Data Protection Act 1998 (Act) and/or the General Data Protection Regulation (Regulation), as applicable.

1.3         By visiting our Website, registering as a member, or otherwise providing your personal data to us, you understand, accept and consent to the practices described in this policy.

1.4         Any changes we make to this policy will be posted on this page. You are advised to check back frequently as, unless your consent is required, any changes will be binding on you when you continue to use the Website or work with us after the date of the relevant change.

Who we are

2.1         The Website is operated by Retail Focus Limited. We are a company registered in England & Wales (number 09733472) with our registered office at Cavendish House, 369 Burnt Oak Broadway, Edgware HA8 5AW.

2.2         We are registered with the ICO to process your personal data and our registration number is ZA183093.

2.3         All data processed through our Website is stored by our hosting company, Bea Solutions Limited, who are registered in England & Wales (number 06539686). All data is hosted and backed-up by Bea on UK based servers.

Your consent

3.1         The Website operates as a closed community for independent business retailers. Its primary purpose is to provide information, guidance and advice to enable members to optimise their business and enhance performance by connecting members through online discussion forums to external and independent suppliers of goods and services they may need. This includes information about products which may be of interest to you; all of which is provided for legitimate business purposes.

3.2         Users must register as a member to enjoy the full benefits. By registering as a member, we are relying on your consent to process the personal data we require from you (and that you submit to us) and, by providing it to us, we will provide you with the benefits of the Website (described at section 3.1). 

3.3         We consider the personal data we obtain is reasonable and necessary for these purposes. However, we review this intermittently and remove any inaccurate or obsolete data.

3.4         By using and/or registering to use, our Website, you expressly consent to:

                3.4.1 provide us with the categories of personal data set out in registration section that we require to verify your identity and set you up as a member on the Website;

                3.4.2 the manner in which we process your personal data (as set out in this policy); 

                3.4.3 the transfers of your personal data to those specifically listed third parties in this policy, for the reasons specified; and

                3.4.4 your personal data being used for direct marketing purposes.

3.5         You may exercise your rights under section 9 at any time, which includes withdrawing your consent to how we process your personal data. Please note that where you wish to do so, you may not be able to enjoy the full benefits from the Website.  

What we collect

4.1         In order to register to use the Website, we require your first and last names, telephone number and email address. These amount to personal data under the Act and the Regulation. In addition, we also require a business name and address, to verify your status as an independent, business retailer. We do not consider that these amount to personal data under the Act or the Regulation.

4.2         When you use our Website, we will automatically collect technical information about the device you use to visit, including your IP address, browser type/version and related settings.

4.3         We also monitor your use of our Website. This includes the full URLs, your clickstreams through our Website, the pages you view and how you interact with them and how you leave the Website.

4.4         Website performance is important to us. To better understand how our users (as a whole) engage with our services, our Website uses Google Analytics, a web analytics service provided by Google, Inc. (Google). Google Analytics uses "cookies", which are text files placed on your computer to help analyse how you use the Website. The information generated by the cookie about your use of the Website (including your IP address) will be transmitted to and stored by Google on servers in the USA. Google will use this information for the purpose of evaluating your use of the Website, compiling reports on your activity for us and providing other services relating to website activity and internet usage. Google may also transfer this information to third parties where required to do so by law, or where such third parties process the information on Google's behalf. Google will not associate your IP address with any other data held by Google. You may refuse the use of cookies by selecting the appropriate settings on your browser, however please note that if you do this your ability to use the Website may be restricted. By using the Website, you consent to the processing of data about you by Google in the manner and for the purposes set out above.

4.5         We may, in future, use deeper analytics tools to better understand specific user behavioural patterns whilst navigating our Website. 

How it is collected

The categories of personal data listed in section 4 are collected in the following ways:

5.1         When you provide it to us

Your personal data is primarily provided to us on registration as a member. Any personal data contained in related correspondence with us about your registration will be retained by us. 

5.2         When we collect it from you

We also collect personal data about your visit to our Website (as listed in section 4).

Any personal data contained in correspondence that you post on our Website’s discussion forums will also be retained by our Website’s hosting provider. 

5.3         When we receive it from others

5.4         The following third parties provide your personal data to us, or we disclose it to them for the reasons listed:

Innzone Limited, a company registered in England & Wales (number 04535676) and our registered office is at Cavendish House, 369 Burnt Oak Broadway, Edgware HA8 5AW. They pass personal data to us for marketing purposes where they reasonably consider you may be interested in the Website and what it has to offer. 

5.5         Given the nature of the content on the Website, we also use various cookies to enhance your browsing experience. For more information, please see our cookie policy. Advertisements appearing on our Website (from time to time) may be delivered to you by our partners, who may set cookies (including targeting cookies). Please refer to the relevant provider’s cookie and privacy policies for further information. 

What we use it for

6.1         Your personal data is required to enjoy the benefits of the Website, which is to connect you with relevant goods and services that you can use to improve your business. We will therefore use your personal data in order to market information that we reasonably consider to be relevant and useful to you, either by email or over the telephone. You can update your preferences, or opt-out of any marketing entirely, at any time. 

6.2         We will, from time to time, contact members through marketing campaigns which we run on behalf of third parties who register for our services. Contact with you will be made on the details you provide to us, and through the preferred method of communication you select, on registration only. 

6.3         Technical information we collect about your visit to our Website is used to enable us to:

                6.3.1 personalise and improve its functionality and security (to keep it safe and secure);

                6.3.2 administer and monitor traffic and behaviours on our Website for analysis, testing,  research, statistical and survey purposes; and

               6.3.3 ensure that we can offer you the most effective and efficient browsing experience, and make improvements where necessary.

6.4         Once collected, your personal data will be retained by us only for as long as you remain a member or otherwise registered with us. After this point, the data will be securely deleted and we will not contact you unless you ask us to.


7.1         All data is processed by UK-based staff working for us, Bea Solutions Limited or staff within the relevant data centres. All are engaged on the terms of a written agreement and subject to duties of confidentiality to protect the security and integrity of any data they have access to at any time.

7.2         Access to any data stored on our databases is encrypted by way of two-factor authentication. 

7.3         Bea Solutions has appropriate data monitoring software and disaster recovery plans in place to protect the security of your data, and allow restoration of any data from the most recent backup copy. 

How and why we disclose your data

8.1         The only third parties with or to whom we disclose or receive your personal data are those listed in section 5.4, for the purposes listed in that section

8.2         Any websites which are linked from the Website are outside of our control and not covered by this policy. If you access those websites using the links provided, the website operators may collect information from you which will be used by them in accordance with their own privacy policies (if any). These policies may differ from ours, and we cannot accept any responsibility or liability in respect of these.

Your rights

9.1         You have the following rights in relation to all of your persona data we hold about you. This is in addition to any rights you may have under the Act or the Regulation. You may ask us:

                9.1.1 not to process your personal data for marketing purposes;

                9.1.2 to clarify what data we hold about you, how it was obtained, to whom it has been disclosed and for how long it will be stored;

                9.1.3 to amend any inaccurate data we hold about you;

                9.1.4 to delete any of your data (where you no longer think we need to hold it, or you think we have obtained or processed it without your consent at any time); and

                9.1.5 to only process your personal data in limited circumstances, for limited purposes

9.2         We have the capacity to extract your personal data from our databases and provide it to you in a structured, commonly-used way (typically by .csv file).

9.3         If you wish to exercise any of your rights at any time, please contact us on the details contained at the beginning of this policy in the first instance. We will require you to verify your identity to us before we provide any personal data, and reserve the right to ask you to specify the types of personal data to which your request relates.

9.4         Where you wish to exercise any of your rights, they may be subject to payment of a nominal administration fee (to cover our costs incurred in processing your request) and any clarification we may reasonably require in relation to your request. Such fees may be charged where we consider (acting reasonably) that your request is excessive, unfounded or repetitive. You will, however, know what data we hold about you because the only data we take is that which you provide to us on registration.
