Convenience chain embraces new technology in a bid to go paperless
Leading, independently owned neighbourhood retailer James Retail, has chosen Bolt Learnings Electronic Signature feature to support its ambition to build a paperless HR department. No more posting hundreds of documents and collecting hundreds of signatures: paperless solutions are the future.
The 600 employees at the 75 stores of the family-owned retail estate will now have 24/7 access to essential policy documents and standard operating procedures (SOPs) online. Legally required signatures will now also be collected from staff electronically, making the whole process of collecting signatures vastly quicker, easier and much more environmentally friendly.
Like most retail companies, James Retail had previously been posting the 80 documents to relevant employees, collecting the signed documents and filing them in a secure place. This is a lengthy, costly and often cumbersome operation for every company – but necessary to remain legally compliant. To resolve this James Retail implemented Bolt’s Electronic Signature tool and created a Policy Library for all their documents and SOPs. The technology allows them to distribute documents digitally to employees, at the touch of a button.
With the Policy Library, employees who want to access a document no longer need to ask for a PDF version: they can easily access it through the online platform. This instant solution not only makes it much simpler for them to keep a copy of documents but also removes the threat for employees who might feel uncomfortable asking a manager to access a particular document.
